Confirmed Hotel Booking for Your Visa Application

Most consulates require a hotel booking for the whole stay, which is why the term “dummy hotel booking” is common among travellers. What it really means is a confirmed hotel booking with free cancellation that proves where you will stay without paying the full amount upfront. We issue it in your name at a real hotel, and the embassy can verify it.

What is a hotel booking for a visa?

Embassies ask for proof of accommodation showing where you will stay throughout your trip. They do not require you to pay for your stay before the visa is issued, because the application may be delayed or refused.

A hotel booking for a visa is a confirmed booking in your name at a real hotel, with free cancellation until a set date and no upfront payment for the stay. It is registered with the hotel or booking platform under a confirmation number, so it can be verified. Once your visa is issued, you decide: keep the booking and pay on arrival, or cancel it for free and book somewhere else.

How to get a hotel booking for a visa, step by step

A hotel booking for a visa is a genuine reservation with free cancellation. These are the steps:

  1. Set your trip cities and dates so they match your flight reservation exactly: check-in on the day your flight arrives, and check-out on the day you fly home.
  2. Split the nights between cities if you will visit more than one city or country.
  3. Fill in guest details exactly as in the passports, letter by letter.
  4. Write your preferences in the notes: a specific hotel, area, star rating or serviced apartment.
  5. Pay the service fee online.
  6. Receive and check your booking: name, dates and hotel address.

The details we need from you

  • Each guest’s full name in English, as in the passport.
  • Cities, with check-in and check-out dates for each.
  • Number and type of rooms, if it matters to you.
  • Email address, phone number and embassy appointment date.

How the embassy verifies a hotel booking

The embassy or visa centre officer may verify your booking by contacting the hotel or searching with the confirmation number. That is why the booking must actually exist when you apply, and its details must match your passport and flight.

You can check it yourself before your appointment: open the confirmation email and follow the manage-booking link, or contact the hotel with the confirmation number and guest name.

Free cancellation and when to cancel

Every booking we issue comes with free cancellation until a set date before arrival, shown in the booking file. You lose nothing if your visa is refused or your plans change.

Once your visa is issued, don’t cancel the booking straight away. Book your actual accommodation first, then cancel the preliminary booking before the free cancellation deadline, because Schengen border officers may ask for proof of accommodation when you arrive. If you like the hotel, you can keep the booking and pay on arrival.

Is an Airbnb or serviced apartment booking accepted?

Many embassies accept Airbnb and serviced apartment bookings if your name, the address and the dates are clearly shown. But a hotel booking is easier to verify, because the hotel has a confirmation number and a reception desk that answers the embassy.

If you prefer a serviced apartment, especially for families, write it in the notes and we will issue the booking at a licensed serviced apartment with the same terms.

Hotel booking with a flight reservation and itinerary

Most Schengen files need all three, and their dates and cities must match. You can order them together for $64 per traveller from the flight reservation page, and we prepare them matching from the start. You also need travel medical insurance with at least €30,000 cover.

The full Schengen document list is in our guide to Schengen visa requirements.

Hotel booking FAQ

Fill in the form with your cities, stay dates and guest names as in the passport, and we issue a confirmed booking with free cancellation that covers every night and matches your flight dates.

No. Embassies ask for proof of accommodation and do not require payment for the stay before the visa is issued. A booking with free cancellation is enough for most embassies.

They may check by contacting the hotel or searching with the confirmation number, so the booking must be genuine and active when you apply. Our bookings are registered with the hotel or booking platform.

Many embassies accept it if your name, the address and the dates are shown, but a hotel booking is easier to verify because the hotel has a confirmation number and a reception desk that answers the embassy.

Yes, most Schengen embassies require accommodation for every night. If you will stay some nights with relatives, attach an invitation letter for those nights instead of a booking.

Mismatched dates or cities are a common reason for requests for clarification or refusals. That is why we match the booking to your flight dates and itinerary before issuing it.
