How to write a visa itinerary, step by step

  1. Start from your flight reservation. Your arrival day is day one and your return day is the last day, with the same flight numbers.
  2. Split the days between cities using the same dates as your hotel booking in each city, with no gaps between nights.
  3. Write one or two activities per day. Real places that make sense for the city, not a long list.
  4. State how you travel between cities: train, domestic flight or bus.
  5. Name where you stay each night using the hotel name as it appears in the booking.
  6. Write the itinerary in English unless the embassy asks for another language, then check it against your bookings before printing.

What the embassy checks, and mismatch mistakes

The visa officer doesn’t read your itinerary as a sightseeing programme; they compare it with the rest of your file. The mistakes that most often lead to requests for clarification or refusals:

MistakeCorrect approach
Itinerary dates differ from the flight reservationFirst and last days match the flight dates
A city in the itinerary with no hotel bookingEvery night in the itinerary has a matching booking, or an invitation letter
The longest stay is in a country other than the one you apply toApply to the embassy of the country where you spend the longest time, or your first point of entry if the stays are equal
A crowded, unrealistic programmeOne or two activities a day, with realistic travel times
Activities that don’t fit the visa purposeA tourist plan for a tourist visa, a family visit for a visit visa

Itineraries covering more than one country

If your trip covers more than one Schengen country, show in the itinerary when you enter each country, how you get there and how many nights you spend in each. This is what the embassy relies on to decide whether you are applying to the right embassy. More details are in our guide to Schengen visa requirements.
