How to Book a Unified Visa Centre (VFS) Appointment: Saudi Arabia, Egypt and the Gulf

Contents of the Guide

The “unified visa centre” is the common name for VFS Global’s joint centres, which receive visa applications for many countries under one roof, including most Schengen countries. These centres are not only in Saudi Arabia; they exist in every country where embassies contract with VFS, including Egypt, the UAE, Kuwait, Bahrain, Oman and Qatar. The idea is the same everywhere: the centre does not issue the visa or decide on it; it receives your file, takes your fingerprints and sends the application to the embassy. This guide covers the booking steps that apply in any country, then notes specific to each country.

Does your embassy use a VFS centre?

Not all embassies work with VFS, and the provider for the same country may differ from one place to another. Spain, for example, receives applications in Saudi Arabia through BLS International, as explained in our Spain visa from Saudi Arabia guide. So always start from the visa page on the website of the embassy you are applying to in your country of residence, and follow the visa centre link given there. The responsible embassy is the one for the country where you will spend the longest time, or your first point of entry if the stays are equal.

An important rule: you apply from the country where you legally reside. A resident of Saudi Arabia applies at centres in Saudi Arabia, and a resident of Egypt at centres in Egypt, even if their nationality is different.

Booking steps (in any country)

  1. Open the country’s page on the VFS website for your country of residence using the link on the embassy’s website, and avoid look-alike sites.
  2. Create an account with your email and activate it from the message you receive.
  3. Choose the centre and visa type: tourism, family visit, business or study.
  4. Enter each applicant’s details exactly as in the passport. Every traveller, including children, needs a booking in their name, and family members can usually be booked in the same process.
  5. Choose a date and time from the available slots, and add any optional service if you need it.
  6. Save and print the confirmation, as you will not be admitted without it.

Some countries require you to fill in the visa form on an official portal before booking an appointment, such as France-Visas for France. The full application steps are in our guide to how to apply for a Schengen visa.

VFS centres in Saudi Arabia

CityLocation
RiyadhThe joint centre in Al Hada on Makkah Al Mukarramah Road, next to the Courtyard by Marriott
JeddahTasheel Commercial Centre, ground floor, Al Mohammadiyah district
Eastern ProvinceA centre in Khobar or Dammam depending on the country, as some embassies have moved to the Lulu Mall centre in Dammam

Some countries, such as France, let all residents of Saudi Arabia apply at any of the three centres regardless of their city, which helps when appointments in your city are full.

VFS centres in Egypt

Most Schengen embassies in Egypt receive applications through VFS Global at two centres: Cairo, in Mohandessin in Giza, and Alexandria. Some countries accept applications in Cairo only, some offer both centres, and for some countries the Cairo centres also serve residents of neighbouring countries. Refusal rates in Egypt are generally higher, so review your embassy’s document list carefully before your appointment, as the details differ between countries.

VFS centres in the Gulf

Many embassies in the Gulf contract with VFS through joint centres, including centres in Dubai and Abu Dhabi, Kuwait, Manama, Muscat and Doha. Some embassies serve more than one country from a single embassy, for example receiving applications from residents of Bahrain or Oman through the local VFS centre and sending them to their embassy in Riyadh or Abu Dhabi, which may add a day or two to processing. UAE residents have a separate guide: Schengen visa for UAE residents.

Addresses and opening hours change from time to time, so always check them on the country’s page on the VFS website for your country of residence before you go.

If no appointment is available

  • Check the system often in the early morning, as cancelled appointments return to the system.
  • Try a centre in another city in the same country if your embassy allows it.
  • Apply early: you can apply for Schengen up to 6 months before travel, and at least two months before summer is the safe time.
  • Don’t pay any intermediary who promises a guaranteed appointment. Official appointments are not for sale, and embassies advise you to book them yourself.

Rescheduling or cancelling

You can change or cancel your appointment from your account on the VFS website, or by contacting the country’s call centre in your country. Do it early so the slot returns to the system for someone else. Fees for optional services are usually not refunded if you don’t attend.

What to bring on the day

  • Original passport and a copy of the data page
  • Printed appointment confirmation
  • Signed application form and a photo
  • National ID or valid residence permit
  • Bank statement and employer letter
  • Flight reservation and hotel booking with matching dates
  • Travel insurance with €30,000 cover for Schengen
  • A payment method for the fees, as instructed by the centre

Arrive 15 minutes before your appointment. The officer checks your documents, then fingerprints and a photo are taken for applicants aged 12 and over, and you pay the official visa fee and the centre’s service fee in local currency. The full document list is in our guide to Schengen visa requirements.

Tracking your application and collecting your passport

You receive a reference number when you apply, which you use to track the status on the VFS website. When your passport is ready, you collect it from the centre or receive it by courier if you chose that service. Check the visa sticker before leaving the centre: name, dates, number of days and number of entries.

Frequently asked questions

Is the unified visa centre a government body?

No. It is an external service provider contracted by embassies to receive applications and biometrics. The decision rests with the embassy alone.

Can I apply in a country other than where I live?

As a rule, you apply in the country where you legally reside, and most embassies do not accept applications from temporary visitors without a strong reason.

Does a child need a separate appointment?

Yes. Every applicant needs a booking in their own name, and family appointments can be booked at the same time.

Do premium services speed up the decision?

No. They are convenience services only and do not affect how long the embassy takes or its decision.
